This page explains what Rhemaia collects, what it does not store, and how your information is used. It is written in plain language on purpose. If anything here is unclear, email us at the address at the bottom.

The short version

  • You are the only account holder. No child ever uses the tool.
  • We never ask for your child's name or date of birth. We read the scores and the evaluator's written notes, and are built to leave the name out.
  • Your child's evaluation is never used to train AI models, and never sold.
  • It is encrypted, and walled off from every other family's data.
  • You can delete everything at any time.

What this tool is

Rhemaia is an educational tool. It reads the scores from a child's existing evaluation and turns them into suggestions for how to teach that child. It is not a medical device, it does not diagnose, and it does not replace a doctor, a psychologist, or a school. The child never uses the tool directly. A parent or legal guardian is the user.

Where your data lives

When the tool is open to families, your child's evaluation data is stored in a hosted database, encrypted (scrambled so it is unreadable without a key held only by us), and each family's account can only ever see its own child's data. Access to the tool requires a signed-in account over a secure (HTTPS) connection.

What we collect

  • The evaluation you upload. When you upload your child's evaluation, the tool reads the test scores and the evaluator's written observations from it, along with the child's age and grade.
  • Your email and quiz answers, only if you take the quiz. If you enter your email in the quiz, it is added to our mailing list through Kit (formerly ConvertKit), an email service. Your quiz answers may be stored so we can understand how people use the tool.
  • Basic usage logs. We keep internal records of each run: which AI model ran, how many tokens it used, what it cost, how long it took, and whether it succeeded or failed. These logs do not contain the contents of your child's evaluation.

What we do not store about your child

We do not want your child's name or date of birth. The tool is instructed to read only the scores, the observations, the age, and the grade, and to leave the name out. We do not create a name field or a date-of-birth field, and we do not deliberately keep either one.

Being honest about the limit: when you confirm the scores, the tool also saves the evaluator's exact written sentences (the observations), and it is instructed to replace your child's name with “the child” inside those sentences. That name-removal is done by an AI model following an instruction, so it is a strong best effort, not a guarantee. We cannot promise a name will never appear inside a saved sentence. What we can say plainly: we never ask for the name, we do not store it as its own piece of information, and we do not use it.

How your data is used

The evaluation you upload is used only to produce the teaching suggestions you asked for. Your child's evaluation data is not used to train AI models. It is sent to Anthropic's API to be read, and under Anthropic's API terms that data is not used to train their models. We do not sell your data. The child's evaluation is shared only with the service providers needed to run the tool: Anthropic, whose API reads it, and the hosting provider that stores it. It is not shared with anyone else, and the email service (Kit) never receives the evaluation.

How we keep it, and how long

Your child's evaluation data (the scores, the evaluator's observations, the age and grade, and the teaching plans the tool produces) is stored encrypted, so the files are unreadable without a key held only by us.

We keep that data for as long as your account is active and for up to 12 months after your last use. After that, we delete it, and we do not retain it beyond 24 monthsof inactivity. You can also ask us to delete it sooner (see the section below). The internal usage logs described above are kept separately; because they contain none of your child's evaluation data, they may be retained after a deletion as anonymous records of how the tool performed.

If there is ever a data breach

If your family's data is ever accessed by someone who should not have it, we will tell you. We will email the address on your account without unreasonable delay, and no later than 60 days after we discover the breach, saying plainly what was accessed, when, what we have done about it, and what you can do. Where the law requires it, we also notify the Federal Trade Commission. This follows the FTC Health Breach Notification Rule, the federal rule that covers consumer health tools like this one.

Questions or deletion

You can ask us to delete your child's whole record at any time, and we will remove the evaluation, the scores, the observations, the teaching plans, and the consent record. If you have a question about your privacy, or you want your information deleted, email help@rhemaia.com.
